Edit Organization and Address Linking

Editing an Organization's information can cause potentially thousands of related mailing-label records to be updated. The reasons why follow:

  • linked employees
  • related individuals
  • all related mailing labels of these employees and individuals
  • all related mailing labels of the organization

When you are in the Edit Name and Address page or the Edit Contact Info page and click save, NetForum begins updating these records. On Save, NetForum checks the number of records specified in the UpdateRelatedIndividualMailingLabelsTaskThreshold system option. If the number of records to be updated reaches or exceeds that threshold, then NetForum creates one or more scheduled tasks to process the records. The scheduled tasks use the time specified in the ScheduledTaskDefaultDelayMinutes system option to determine how long to wait before the scheduled task starts.

Make sure Task Scheduler is Installed as part of baseline NFEP.

  1. Set the threshold using the UpdateRelatedIndividualMailingLabelsTaskThreshold system option.
  2. Set the delay before the start of any needed scheduled tasks using the ScheduledTaskDefaultDelayMinutes system option.
  3. Edit the Organization's Information:
  4. Find the Scheduled Task(s)
    1. Go to Modules > Admin > Task Scheduler > Find Scheduled Task. The Find - TaskFacade page opens.
    2. In the Task Type drop-down list, select Update Related Individuals Mailing Labels for [Organization].
    3. Click the Go button. The List - TaskFacade page opens.
    4. Order by Start Date.
    5. Note: The new Scheduled Task is set up to run one minute from the time you click the Save button on the page where you edited Organization information.

    6. Click on the line for the Scheduled Task you want to view. The profile page for that scheduled task opens. For more information on Scheduled Task Profile Pages, see the Scheduled Task Profile topic.
  5. View the Change in a Linked Address:
    1. Go to the profile page for the Organization you modified. Go to Recent Records > Organization.
    2. Go to the Relations tab. Click the More tab > Relations.
    3. Expand the Individuals child form to see all Individuals that have some relation to this Organization.
    4. Click the go to arrow beside the name of an Individual. The Individual Profile page opens.
